Printer connected but not printing: a step-by-step check

A stalled queue, the wrong printer or a lost connection can all look alike. Start with the device itself, then check the connection and drivers.

THE KEY POINTS

  • Compare the printer’s own test page with printing from the computer.
  • Check the selected printer, queue and connection.
  • In an office, find out whether one computer or everyone is affected.

A printer can appear as installed in Windows yet refuse to print. An old job may be blocking the queue, the document may be going to a different printer, or a Wi-Fi connection may have been lost after changing the router. Check the basics in order before reinstalling everything.

Find out how much of the system is affected

If the model supports it, print a test page from the printer’s own controls. If that fails too, check paper, supplies, the mechanism and hardware messages. If the printer’s internal test works but computer documents do not, focus on the connection and printing software.

For a shared office printer, ask whether one person or everyone is affected. That helps separate a single-computer issue from a network or shared-device problem.

Check paper, messages and power

Make sure the printer is on, covers are closed and paper is loaded correctly. Read the display and indicator lights. Do not pull jammed paper out by force, as this can damage rollers or sensors. If the device has been printing heavily and is hot, let it cool before touching parts intended for user access.

Look at the Windows print queue

Open the printer settings and find the device you intend to use. An older document may be holding later jobs in the queue. Check that printing is not paused and the correct printer is selected. Closing and reopening the application can sometimes help with an application problem. Before deleting shared print jobs, tell colleagues whose work may be affected.

For USB, check the cable and port

Make sure the cable is firmly connected at both ends. Try another known working USB port without an unreliable extension or hub. This is an especially useful check if the fault started after the computer was moved.

For Wi-Fi, check the network connection

The printer and computer need to be able to communicate. After a router change, the printer may still be configured for the old network. A computer on an isolated guest network may also be unable to reach the office printer. Check the network name and access settings; do not disable Wi-Fi security just to make printing work.

Our guide to small office networks explains how staff, guest access and shared devices fit together.

When drivers need attention

If Windows marks the device with an error, or printing stopped after a system update, check that the driver supports the exact printer model and Windows version. Download it from the manufacturer’s official website. Unofficial driver bundles can include unwanted software.

Reinstalling the driver is not automatically the first or necessary step. It will not solve a paper problem or a lost network connection.

Why printing may work while scanning does not

A multifunction device combines features that may need separate setup. Network printing can work while scanning to a folder fails because of access permissions or the scanning application. Confirm the model and scanning method before changing general settings.

What to tell a specialist

Provide the printer model, Windows version, connection type — USB, Ethernet or Wi-Fi — and the exact error. Mention whether other computers can print and whether the router was replaced. For an office, say how many workstations need access.

Printer help in Bishkek

IT Services visits customers in Bishkek and the surrounding area to connect and configure printers and multifunction devices. Give the model and district when enquiring. See printer setup. If other devices also lose connectivity, the related guide to Wi-Fi with no internet may help narrow the problem down.

Frequently asked questions

The test page prints, but Word documents do not. Why?

Check the printer selected in Word, the document and the print queue. The problem may be specific to the application.

Why has the printer suddenly gone offline?

Possible causes include a lost connection, a changed IP address, the computer joining a different network or a print-service problem.

Do I need a new printer?

It is too early to decide. First establish whether the fault is in the hardware, connection or settings.

Choosing the right service

If the printer’s own test works but computer printing fails, start with printer setup and connection checks. For poor print quality, prepare the model, error message and a sample page so the next checks can be identified.

Paper jams, unusual noises and mechanism errors belong to printer and multifunction printer repair. These tasks are priced separately from driver installation. Do not open the device yourself before inspection.

The main point

Work from simple checks towards more involved ones: device condition, queue, connection, network and driver. That is more useful than reinstalling software at random.
